Reporting to the Regional Facility Manager, we are seeking a Facility Supervisor who is responsible for overseeing daily operations, maintenance, and staff management within the facilities department across Singapore, Malaysia, and Thailand.
The Facility Supervisor plays a crucial role in ensuring all facilities are maintained in a safe, functional, and cost-effective manner. This includes leading and coordinating a team of facility technicians and administrative staff to meet the organization’s operational needs.
How you will contribute
- Utilize a variety of software tools such as Microsoft Word, Outlook, PowerPoint, Excel, Power BI, Sway, and Access to produce correspondence, maintain presentations, and manage records and databases.
- Oversee reception operations, refine standardized service protocols, and ensure efficient, compliant service delivery by reception staff.
- Develop staff schedules, organize training sessions, conduct performance evaluations, and enhance team efficiency and professional capabilities.
- Deliver high-quality, prompt, and courteous facility management services in a safe working environment.
(Includes preventive maintenance planning, daily maintenance, asset management, security, incident reporting, and ensuring the routine operation of all facilities.)
- Implement safety systems, inspect equipment, and ensure compliance with regulatory standards.
- Support logistics for internal events such as birthday celebrations, annual parties, conferences, and training sessions.
- Maintain internal bulletin boards for information and file sharing.
- Participate in biannual budget planning, monitor expenditures, and promote cost-reduction and energy-saving initiatives.
- Manage procurement and vendor relationships for administrative needs (e.g., office supplies, meeting room bookings, courier services, car rentals, office cleaning, and landscaping).
- Organize and store paperwork, documents, and digital records efficiently.
- Maintain visitor logs and manage issuance of visitor and access cards.
- Allocate office space and coordinate office moves and renovations.
- Perform other ad hoc tasks as assigned by the line manager.
Who you are
- Bachelor’s degree in Business Administration or a related field.
- Previous experience in a similar position is a plus.
- Excellent verbal and written communication skills.
- Strong computer proficiency, with advanced skills in Microsoft Excel preferred.
- Ability to work independently with minimal supervision.
- A strong sense of responsibility, maturity, and a collaborative team spirit.
