    Kering is seeking an outstanding, multi-tasking Workplace Experience Coordinator for our New York, NY office. This hybrid position combines administrative assistant duties within a hospitality role centered on providing first-in-class service in a warm, professional manner to employees and visitors alike. You will be tasked with maintaining a high-touch service atmosphere and assisting select leadership executives through management of communications, planning, and meeting coordination.     HOW YOU WILL CONTRIBUTE

    • Perform receptionist duties: greet guests – offering WiFi and beverage assistance, answer phone lines, accept and distribute deliveries and mail where needed.
    • Responsible for day-to-day appearance and maintenance of office. Ensure all areas align with Kering image standards. Schedule and follow through on all repairs, preventative maintenance, and cleaning with help of Facilities and Cleaning teams.
    • Maintain schedule for meeting and training rooms capable of holding more than 10 participants.
    • Coordinate all details of group meetings (room set-up, catering, technology support, clean-up). Provide on-site support during events as needed. Ensure all meetings and events meet Kering Image and Hospitality standards.
    • Partner with in-house cafe for all catering needs, including menu selection, dietary restrictions, and presentation. Review proposals and invoices for accuracy and budget adherence.
    • Create and maintain a centralized event calendar for location engagement activities, classes, and events.
    • Responsible for coordinating office needs for new hires (names, plates, door badges, elevator keys, etc.)
    • Work closely with Hospitality and Facilities teams on innovative ideas for workplace experience.
    • Provide support for all employee engagement events hosted across various teams. Provide furniture and space support, obtain certificates of insurance from vendors, and coordinate vendor access with relevant parties.
    • Support programming hosted by Hospitality team, managing budgets, proposals, invoicing, and insurance certificates. Manage PO creation and invoice processing for vendor services.
    • Maintain office supplies stock and place orders as needed. Manage PO creation and invoice processing for orders. Maintain cleanliness and organization of all supply closets.
    • Manage RFID token distribution for electric vehicle charging stations. (Wayne)

    Assistant Responsibilities

    • Ongoing calendar management for select executive leaders including correspondence with attendees, room booking, and confirmation follow-up. Maintain up-to-date calendars per leader’s preferences.
    • Schedule and manage all travel and transportation arrangements for select executive leaders.
    • Perform administrative duties (printing, scanning, mailing, report & presentation creation, etc.) for select executive leaders.
    • Coordinate details of team meetings for select executive leaders. Confirm attendance, room reservations, catering, and technology needs. Ensure agenda and meeting information are distributed prior to the meetings owned by the leader.
    • Complete and verify expense reports for select executive leaders.
    • Provide first line of approvals for departmental invoices & expenses. Manage PO creation and invoice processing for select vendor services.
    • Support team culture through coordination of celebrations, teambuilding activities, & giftings.
    • Demonstrate adaptability, flexibility, and resourcefulness as changes occur in schedules, plans, documents, or other situations throughout the business day.

    WHO YOU ARE

    • 2+ years in retail or office setting
    • College degree preferred (but not required) or equivalent experience.
    • Demonstrated ability to work independently and take initiative where needed.
    • Ability to manage and complete assignments accurately and on a timely basis.
    • Strong organizational skills with a solutions-focused outlook.
    • Strong computer skills with knowledge of Outlook, Word, Excel, and PowerPoint.
    • Proven ability to manage multiple priorities with a sense of urgency and ownership
    • Ability to handle all interactions with a high degree of professionalism.
    • Excellent communication, prioritizing and problem-solving skills.
    • Ability to be a team player and to foster a commitment to teamwork among other associates.
    • Roll up your sleeves and get the job done attitude
    • Graphic design experience a plus

    Salary: $35.00 - $45.00 per hour plus incentives
